Terms of Service

Please read this before using SpaceStatus. When you create an account or start using the Service, you are agreeing to these Terms. If you do not agree, do not use the Service.

1. Definitions

"SpaceStatus", "we", "us", or "our" refers to the operator of this Service, as identified in the Legal Notice (Imprint).

"Service" means the SpaceStatus platform as a whole, including the web dashboard, the display viewer, the API, and all related software.

"Customer", "you", or "your" means the person or organisation that has created an account and agreed to these Terms.

"User" means anyone accessing the Service under a Customer account.

"Display" means any screen, TV, or device that has been paired to the Service via PIN to show a room availability board.

2. Who can use SpaceStatus

You need to be at least 18 years old to use this Service. If you are signing up on behalf of a company, you are confirming that you have the authority to bind that company to these Terms.

When you register, please make sure the information you give us is accurate. Keep it up to date if anything changes.

3. What SpaceStatus does

SpaceStatus connects to your Microsoft 365 room calendars via the Microsoft Graph API and shows live room availability on screens around your workplace. Specifically, the Service includes:

  • A web dashboard for creating and managing display boards
  • A display page you can pair to TVs and monitors using a PIN
  • Public display URLs with optional password and IP access controls
  • Tools for managing room lists and syncing calendar data

4. Your account and keeping it secure

You are responsible for keeping your login credentials private and for anything that happens under your account. If you think someone has accessed your account without permission, let us know straight away at [email protected].

We can suspend or close accounts that we reasonably believe are being used fraudulently, in breach of these Terms, or in a way that could cause harm.

5. Subscriptions and billing

SpaceStatus is a paid service. Current plan options and prices are on the Pricing page. Plans are billed in advance, either monthly or annually. Prices are in euros and do not include applicable taxes unless we say otherwise.

Plan changes, upgrades, downgrades, and cancellations are self-service through Stripe, our payment processor, from the Billing page. Stripe handles your card details directly. We never see or store your full card number.

You can cancel at any time. Your access continues until the end of the billing period you have already paid for. We do not issue refunds for the unused part of a prepaid period, except where the law requires it.

We may change our prices with reasonable notice. If you keep using the Service after a price change takes effect, that counts as acceptance of the new price.

6. Microsoft 365 and third-party services

SpaceStatus relies on Microsoft 365 and the Microsoft Graph API to pull room calendar data. We have no control over Microsoft's services. If Microsoft has an outage or changes how their API works, that will affect SpaceStatus, and we are not responsible for what happens as a result.

We are not liable for interruptions, inaccuracies, or delays in room availability data caused by any of the following:

  • Microsoft 365 or Azure outages or slowdowns
  • Graph API rate limits, throttling, or permission changes
  • Calendar sync delays that are part of how Microsoft's platform works
  • Changes to Microsoft's APIs, login requirements, or data structure
  • How your organisation has configured its Microsoft 365 tenant

SpaceStatus is an independent product. We are not affiliated with Microsoft Corporation and are not endorsed or certified by them.

7. Acceptable use

Please use SpaceStatus for its intended purpose. You agree not to:

  • Break any applicable law or regulation
  • Upload or store content that is unlawful, harmful, or offensive
  • Disrupt or interfere with how the Service works
  • Try to gain access to parts of the Service you are not authorised to use
  • Reverse engineer, decompile, or take apart any part of the software
  • Use SpaceStatus to build a competing product
  • Resell or transfer access to the Service to others without our written permission

8. Who owns what

SpaceStatus and its licensors own all the intellectual property in the Service. Nothing in these Terms gives you the right to use our name, logo, or brand without asking first.

You own the data you bring to the Service, such as room names, board configurations, and account details. You give us a limited licence to process that data for the sole purpose of running the Service for you.

9. No warranties

To the maximum extent permitted by law, the Service is provided on an "as is" and "as available" basis. We make no promises about the Service, express or implied, including any implied warranties of merchantability or fitness for a particular purpose.

Specifically, we do not guarantee that:

  • The Service will work the way you expect or meet your specific requirements
  • The Service will be available without interruption or be free of errors
  • Room availability data will always be accurate or up to date
  • Any bugs or problems will be fixed within a particular timeframe

We do not offer a service level agreement or uptime guarantee. We may change, pause, or shut down the Service at any time, though we will try to give reasonable notice.

10. Limits on our liability

To the maximum extent permitted by law, SpaceStatus and its officers, employees, and agents are not liable for any of the following, regardless of how they arise:

  • Indirect, incidental, special, consequential, or punitive damages of any kind
  • Lost profits, lost revenue, lost data, or lost business opportunities
  • The cost of getting replacement services
  • Meeting room conflicts, missed meetings, or booking disputes caused by inaccurate or unavailable display data
  • Business interruption or lost productivity from the Service being unavailable

This applies whether the claim is based on contract, negligence, product liability, or any other legal theory, even if we have been told that such damages were possible.

In any case, our total liability to you for claims related to the Service will not exceed either the total fees you paid us in the 12 months before the claim, or one hundred euros (100 EUR), whichever is higher.

11. Your responsibility to us

If SpaceStatus faces a legal claim, damages, or costs because of how you used the Service, your violation of these Terms, or your infringement of someone else's rights, you agree to cover those losses. This includes reasonable legal fees.

12. Changes to the Service or these Terms

We may update the Service or change these Terms from time to time. For significant changes, we will let you know by email or through a notice in the dashboard. If you keep using the Service after changes take effect, you are accepting the new Terms.

13. Ending the relationship

Either of us can terminate at any time. When that happens, your access to the Service stops immediately. Sections 8, 9, 10, 11, and 14 continue to apply after termination.

We can suspend or close your account without notice if we believe you have seriously violated these Terms or if keeping your account active could cause harm to SpaceStatus or to others.

14. Governing law and disputes

These Terms are governed by Swiss law. Any dispute that we cannot resolve between ourselves goes to the courts of Switzerland.

Before either of us files anything formal, we agree to spend 30 days trying to sort it out through direct conversation.

15. Everything else

These Terms, together with the Privacy Policy and any applicable Data Processing Agreement, make up the complete agreement between you and SpaceStatus. They replace any earlier understandings or agreements.

If any part of these Terms turns out to be unenforceable, the rest stays in effect.

If we do not enforce a particular right at a given time, that does not mean we are giving it up permanently.
